ANNUAL MEETING PLAN

Each 4-K Club will have an annual meeting plan that captures the Date, Business, Program, Facilitator and Recreation for every month

4-K CLUB MEETING

A 4-K Club meeting has three sections:

  • The Business (agenda) part where the work of the club is done
  • The Project which is the core part of the meeting
  • Recreation
  • The business (agenda) part of the meeting remains the same in each meeting, but the projects and recreation activities vary.

Each section should take about 20 minutes

HELPFUL HINTS FOR 4-K CLUB MEETINGS

  • The clubs should meet at least once in a week
  • At a business meeting the Chair, Secretary and members should sit together in a circular manner
  • It is important that the Chair, local leader and other club officials check their meeting agenda before the meeting to ensure all is in order
  • Start the meeting on time and adjourn on time
  • When the Chair is appointing committee members, include pupils from lower classes and those in higher classes

MEETING PROCEDURE

BUSINESS (AGENDA)

  • Call to order by the Chair
  • Opening prayer
  • Roll call by the Secretary
  • Club Pledge
  • Reading of minutes of previous meeting by Secretary
  • Reports from committees (4-K Clubs may have a committee for projects, shows, programmes and recreation)
  • Unfinished agenda e.g. the date for a tour, information about a 4-K Club show
  • New agenda / Emerging issues

PROJECT

A 4-K Club project has several activities which may include a talk, demonstration, farm tour, etc. where members gain knowledge in agriculture. The local leader or a member of the extension service provider will usually be in charge of this part to teach members.

After discussing the project, meeting is adjourned for members to go for recreation.

RECREATION

Recreation includes games, dances, songs, sports. The meeting must alwaysend with recreation.

After recreation, club members say closing prayers and disperse.
